“We scaled the wrong way about two years ago, and scaling the wrong way for us was to basically throw a ton of advertising money at a system that wasn't properly built.” says Jordan.
Competition in the online therapy space is fierce, with big players in North America like BetterHelp and Talkspace dominating the market. These companies are venture-backed, with unlimited money to spend on advertising and client acquisition.
ShiftCollab wanted to create systems that reflected their values but were competitive.
They needed to find a scalable way to collect this information and use it to match clients to the most appropriate therapist for their situation.
They realized their needs were complex. They needed a system that could apply advanced filtering and scoring to connect to their internal databases.
For lead scoring, every therapist is measured on more than 100 different points, between their modalities, their areas of specialty, their identity, their availability, and even their personality.
“We needed a way to sync that data with a form solution on the front end. And because we're growing, that data is changing every day. We needed that to be low or no code for us to be able to manage it.” says Jordan.
The team was facing mounting pressure. They were handling increasing volumes of inquiries, each requiring careful manual matching with three suitable therapists for clients to choose from.
Existing tools were beginning to feel stretched, with repetitive manual processes creating stress and inefficiency for their team. They wanted to automate repetitive tasks and redirect their team's energy into making a great customer experience.
They started looking around for an automation tool that would help them solve these problems.
A Powerful Solution
They quickly discovered developers were prohibitively expensive. Also, they didn’t want to have to pay a developer for every single iteration and change they needed to make in the future.

“We looked at a bunch of solutions. We started off on Typeform, but we couldn't do the calculations or data scoring we needed with that tool,” says Jordan.
After failing with Typeform, they moved on to Outgrow. Although their team successfully created a quiz with the necessary configurations, Outgrow couldn't handle the complex filtering and scoring required to determine the top 3 matches.
“So we were looking around high and low for a tool that could do what we needed. And then I found Convert_, and I thought, this is really interesting,” says Jordan.
When Jordan first connected with Bas from Convert_, Bas was very intrigued by the project.
“I was very interested in this use case. Applying filters and scoring on big datasets makes us unique in the no-code space. But these use cases are not easy to spot. “So now we have clients going in and they're able to get three good matches. And right from there, they can book. This links directly with the booking and healthcare management system we use. So, that kind of end-to-end experience just wasn't possible before. That has been very cool.” says Jordan.
